Organizational Memory — Canonical Model
Company: IntegrateWise
Product: SpineWorkspace
Foundation: Spine Fabric
Definition
Organizational Memory is the governed, provenance-bearing institutional knowledge that survives beyond a single session or agent and can be used as shared business context.
It is derived from organizational events, decisions, evidence, work outcomes and approved interpretations.
What It Is Not
- raw chat history
- agent working memory
- a model's prior answer
- an unreviewed extraction
- a provider-specific database
- a UI table
- a vector index by itself

Memory Scopes
Personal → Conversational → Agent → Organizational Staging → Organizational Published
Only the governed promotion path can move material into Organizational Published.
| Scope | Boundary | Governance | Store |
|---|---|---|---|
| Personal | One user. Hard boundary — no other principal reads it. | User owns it; no approval needed | personal_memory |
| Agent | One agent or Twin instance within one tenant. Working state. | Not directly promotable; must pass triage as evidence | agent_memory |
| Conversational | One session or thread. Ephemeral working context. | Decays; never promoted directly | conversational_memory |
| Organizational staging | Candidate organizational memory. | Human/governed review required | triage_results (pending) |
| Organizational published | Approved tenant-wide memory. | Governed: staging → approved → published | org_memory |
Memory Contract
Every published memory item carries:
- tenant identity
- memory ID
- category
- source evidence
- entity references
- provenance/lineage
- author/approver where applicable
- creation/update timestamps
- lifecycle state
- freshness
- confidence dimensions
- conflict status
Architectural Law
Memory informs organizational truth; it does not silently become organizational truth.
Relationship to Triage
Organizational memory is produced only through the governed promotion path. See TRIAGE_AND_ORG_MEMORY.mdx for the complete triage → promotion specification.
Relationship to Spine Fabric
Organizational memory is a layer within Spine Fabric. It is:
- Interpreted — derived from canonical facts and session evidence, carrying confidence and provenance
- Governed — every promotion requires approval; confidence never grants authority
- Scoped — personal memory never widens; organizational memory is tenant-wide
- Provenanced — every item traces back to its source evidence
Scope Widening Rule
Scope only ever widens through promotion, and promotion is always governed.
Conversational and Agent memory are evidence, not truth. Personal memory never widens at all — it can only be cited by the user who owns it.
