IntegrateWise Implementation Guide

How to Set Up Each Step — Plain Language

Step 1: CONNECT

Link Your Existing Tools

What This Step Does

Plug in the apps you already use. IntegrateWise connects to them securely — you don't move any data, you just give permission to read (and optionally write).

Tools You Can Connect Today

CategoryToolsStatus
Chat & MessagesSlack✅ Ready
CRM & SalesHubSpot✅ Ready
Notes & DocsNotion✅ Ready
EmailGmail✅ Ready
SpreadsheetsGoogle Sheets✅ Ready

How to Connect a Tool

Example: Connecting Slack

  1. Go to Settings → Connections
  2. Click + Add Connection
  3. Select Slack from the list
  4. Click Authorize
  5. Slack will ask: "Allow IntegrateWise to access your workspace?"
  6. Click Allow
  7. Done! Slack is now connected.

Same process for all other tools — about 2 minutes each.

What Permissions Mean

Permission LevelWhat It DoesWhen to Use
Read OnlyCan see your data, can't change anythingStart here — safest option
Read + WriteCan see AND update your dataWhen you want automation to take action

Our recommendation: Start with Read Only. Add Write access later when you're comfortable.

Connection Settings You Control

SettingOptionsDefault
Sync FrequencyReal-time, Every 15 min, Hourly, DailyEvery 15 min
Data RangeLast 30 days, Last 90 days, Last year, All timeLast 90 days
PermissionRead Only, Read + WriteRead Only

Troubleshooting Connections

ProblemSolution
"Authorization failed"Check if you're logged into the right account
"Insufficient permissions"You may need admin access in that tool
"Connection timeout"Try again in a few minutes
"Data not syncing"Check if the tool's API is working (status page)

Security During Connection

  • ✔ We use OAuth 2.0 (industry standard)
  • ✔ Your passwords never touch our servers
  • ✔ You can revoke access anytime
  • ✔ All connections are encrypted

Step 2: ORGANIZE

Route Data to the Right Teams

What This Step Does

Once your tools are connected, data starts flowing in. This step makes sure the right information goes to the right people — Sales data to Sales, Support tickets to Support, etc.

How Organization Works

Setting Up a Team

Example: Creating a Sales Team

  1. Go to Settings → Teams
  2. Click + New Team
  3. Enter name: Sales
  4. Add team members (by email)
  5. Set permissions:
    • What can they see? (All sales data / Their deals only)
    • What can they edit? (Everything / Nothing)
  6. Click Save

Routing Rules — How Data Finds Its Team

Rule TypeExampleWhat Happens
By Source"Anything from HubSpot Deals"→ Goes to Sales team
By Keyword"Contains 'refund' or 'cancel'"→ Goes to Support team
By Person"Emails from @bigclient.com"→ Goes to Customer Success
By Amount"Deals over $50,000"→ Goes to Sales + Leadership

Setting Up a Routing Rule

Example: Send all support tickets to Support team

  1. Go to Settings → Routing Rules
  2. Click + New Rule
  3. Set conditions:
    • Source: Zendesk
    • Type: Ticket
  4. Set destination:
    • Team: Support
  5. Click Save

Now all Zendesk tickets automatically appear in Support team's view.

Access Control — Who Sees What

Access LevelCan SeeCan EditBest For

Audit Log — Track Everything

Every action is logged:

  • Who accessed what data
  • When they accessed it
  • What changes were made
  • From which device/location

Find this in Settings → Audit Log

Step 3: IMPORT

Pull Your Data In

What This Step Does

After connecting tools and setting up teams, this step actually brings your data into IntegrateWise. Think of it as the "sync" that keeps everything up to date.

What Gets Imported

From This ToolWe Import
SlackMessages, channels, threads, mentions
HubSpotContacts, companies, deals, activities
GmailEmails, threads, labels, attachments (metadata)
NotionPages, databases, comments
Google SheetsRows, columns, named ranges

How Import Works

Step 4: REMEMBER

Your Second Brain

What This Step Does

Captures all your AI conversations (ChatGPT, Claude, Gemini, etc.) in one searchable place. Never lose an idea again — and finally reuse them.

Why This Matters

Before IntegrateWise:

  • Great idea in ChatGPT last week? Gone.
  • That perfect solution Claude gave you? Can't find it.
  • Brainstorm from 3 months ago? Lost forever.

After IntegrateWise:

  • Everything searchable
  • Ideas connected across tools
  • Brainstorms become action plans

Step 5: AUTOMATE

AI Suggests — You Approve

What This Step Does

Smart automations watch your data and suggest actions. You stay in control — nothing runs without your approval.

How Automation Works

Something happens AI notices You get You decide
in your tools the pattern a suggestion what to do
───────────── ─────────── ──────────── ───────────

New lead "This looks "Score: 85 ✓ Approve
comes in ───▶ like a good ───▶ Assign to ───▶ ✗ Skip
                           lead" Sarah?" ✎ Edit

Key point: AI suggests. You approve. Nothing happens automatically without your say.

Types of Automations

AutomationWhat It WatchesWhat It Suggests
Lead ScoringNew leads from forms, adsScore + who to assign
Email SortingIncoming emailsCategory + priority + actions
Ticket RoutingSupport requestsPriority + team + suggested answer
Health AlertsCustomer activityRisk level + recommended action
Follow-up RemindersStale deals, old tickets"Time to reach out?"
Document SummaryLong threads, docsKey points + action items

Setting Up Your First Automation

Example: Lead Scoring

  1. Go to Automate → + New Automation
  2. Select template: Lead Scoring
  3. Configure:
    • Source: HubSpot new contacts
    • Score based on: Company size, title, engagement
    • Notify: Sales team
  4. Set approval mode:
    • ☑ Suggest only (you approve each one)
    • ☐ Auto-run (runs without asking)
  5. Click Activate

Approval Modes Explained

ModeWhat HappensBest For
Suggest OnlyAI suggests, you approve each oneStarting out, high-stakes actions
Auto-run + NotifyAI runs it, tells you afterRoutine tasks you trust
Auto-run SilentAI runs it, no notificationLow-risk, high-volume tasks

Our recommendation: Start with "Suggest Only" for everything. Move to auto-run once you trust the suggestions.

Building Custom Automations

Automation Builder:

  1. Trigger — What starts it?

    • New record created
    • Field changed
    • Time passed
    • Keyword detected
  2. Condition — When should it run?

    • If amount > $10,000
    • If status = "Open"
    • If no response in 7 days
  3. Action — What should happen?

    • Send notification
    • Create task
    • Update field
    • Send email (with approval)

Example Automations

#1: High-Value Deal Alert

  • Trigger: New deal created in HubSpot
  • Condition: Deal amount > $50,000
  • Action: Notify sales manager + create follow-up task

#2: Support Escalation

  • Trigger: Ticket open > 24 hours
  • Condition: Priority = High
  • Action: Alert team lead + suggest response

#3: Churn Risk Detection

  • Trigger: Daily check
  • Condition: No login in 30 days + no support contact
  • Action: Flag customer + suggest outreach email
